Answer and transfer calls on a multi-line phone system. · Must possess professional phone voice and personal image to best represent the Company. Excellent customer service, verbal and written communication skills.· Intermediate computer skills - Operate PC and relevant software applications. Microsoft Suite – Excel, Word, PowerPoint. Outlook, Internet navigation. Moderate typing / keyboard skills. Generate tables, charts, letter, reports, and correspondence.· Knowledge of administrative tasks and clerical procedures.· Maintain confidentiality - handle sensitive and/or confidential documents and information. · Ability to report to work in a timely and reliable manner is essential.· Travel procurement background a plus.· High school diploma or equivalent is required, College preferred. |
| Job Description: | · Responsible for presenting a professional image of the organization and facilitating quick and accurate direction over the phone or in person. Operate multi-line telephone switchboard and route calls to the appropriate person or location, provide information and directions, and schedule appointments.· Have sufficient knowledge of basic corporate operations to direct visitors or callers. Answer questions and requests which require a detailed knowledge of office procedures and functional groups. · Daily interaction with customers and staff require this position to possess excellent interpersonal and organizational skills plus a patient, pleasing personality to courteously assist callers. Greet patrons, determine nature and purpose of visit, determine name and firm represented, inform proper employee of arrival and direct or escort them to specific destinations. · Monitor visitor access and maintain security awareness.· Issue visitor passes and certain safety equipment when needed.· Receive and sort mail and deliveries for Executives. Maintain phone lists & visitor records. · Provide general administrative and clerical support. Prepare correspondence and documents.· Serve as administrative assistant back up support to other colleagues as needed.· Manage/organize conference and meeting room bookings, obtain catering. Order, monitor and maintain office equipment and supply stock.· Attention to detail with emphasis on accuracy and quality, ability to prioritize work to balance multiple projects and deadlines. · Arrange travel and process expense reports as needed or directed.· May perform other duties and special projects as required. · Train back-up relief operators. |
